Record a participant’s response

Record a participant’s response after communicating through your organization’s normal channels.

Who this is for: Owners and Admins managing participant responses.

Help when this task is blocked

Before you start

Owners and Admins managing participant responses. Check the organization before making changes.

Awaiting Response keeps a place pending. Declined and No Response release the place and preserve the participation record in History. No Response closes an unanswered place; use Awaiting Response while you are still waiting.

Steps

  1. Open Current or Awaiting response in the event’s participant workspace. Use Find participant and Apply view when needed.
  2. Expand Record response for the correct person. Historical responses use History and the full Review response action.
  3. Choose the current response: Awaiting Response, Confirmed, Declined or No Response.
  4. Choose Save response and check the saved response and result in the same row. Companions keep their own responses. Changed rows remain visible for review even when they no longer match the filter. Save or discard other pending edits, then choose Show only matching participants when you want to clear them.
  5. To correct a released response, follow Review this historical response or find it in History. Check the available responses, save the correction and verify its result before returning to participants. Reactivation still requires eligibility and an available place that has not been filled by a replacement.

Expected result

The saved response, recorded time and place outcome are shown. Confirmed does not record arrival or payment. Awaiting Response clears the response time; earlier changes remain in audit history.

If you cannot finish

The participant did not receive a message

AdminLogix does not send event-participation invitations or expire responses automatically.

I am recording No Response

No Response is an organizer’s decision to close an unanswered place, not a participant’s reply. It releases the place; Awaiting Response keeps it pending.

The place has already been replaced

After a replacement fills the place, the original Declined or No Response record cannot return to Confirmed or Awaiting Response.

The response changed while I was working

Your intended change is not saved over the newer response. Follow Reload response to review the latest saved state before deciding what to record.

Example: understand this in practice

Jordan confirms through an outside communication channel. Maya records Confirmed; saving the response does not send Jordan a message.
